Applications

Running a whitelist usually means a Google Form, a spreadsheet, a staff channel full of screenshots, and someone handing out Discord roles by hand. Applications puts all of that in one place: players apply on your own page, your staff review and vote, and the Qbox bot tells the player the outcome and gives them their Discord roles.

Use it for anything people apply for: your whitelist, staff or police recruitment, gang or business slots, content creator programs.

How it works​

  1. You build a form in the dashboard, publish it and open it.
  2. Players apply on your portal page at apply.qbox.re/<your-slug>. They sign in with Discord, so you always know who is applying.
  3. Your staff review. The application shows up in the dashboard under Applications, and the Qbox bot posts it in a staff channel on your Discord with buttons to vote, accept, interview or deny.
  4. Someone decides. Accepting, denying or moving someone to interview sends the player a Discord message and adds or removes the Discord roles you set on the form.

The player can follow their application on the portal, read your decision there, and message your staff while it is still open.

Plans​

Applications are part of the paid plans. The number of players who apply is never limited.

On the Free plan, the Applications page shows Applications are part of the paid plans with a View plans and billing button. See Plans.

Some things to know about the form limit:

  • Drafts count. A form counts toward your plan from the moment you create it, published or not. On Ducklin that means one form in total, so you cannot start a second draft next to it.
  • After a downgrade, your oldest published forms keep their places. The rest show Paused by plan in the dashboard and players cannot apply to them, just as if they were closed. To bring one back, move an older form back to draft, delete one, or upgrade.

Quick start​

While none of your forms is open, the Forms tab shows a checklist called Set up applications that tracks these five steps. You can hide it with the X in its corner.

1. Connect your Discord server​

Press Open Discord. The Qbox bot needs to be in your Discord server to post applications and give out roles. Follow Discord; it takes a couple of minutes.

2. Create your first form​

Press New form, give it a name, and pick Blank or the FiveM whitelist template. See Building a Form.

3. Point the form at Discord​

Press Open settings. On the form's Settings tab, pick the Review channel your staff watch and at least one Discord role to add or remove when you decide. For a whitelist that is usually "add Whitelisted when accepted". This step is done once the first form has a review channel and at least one decision role.

4. Give your staff a reviewer role​

Press Open roles. Create a dashboard role for your whitelist team (for example Whitelist Team) and set Applications to Review or Decide. This step is done once any role other than Admin can review applications. Then give your staff that role, either by linking it to a Discord role or by inviting them by email. 5. Publish the form and open it​

Press Open builder. Press Publish at the top of the form, then set it to Open on the Share tab. Share the link from the Share tab in your Discord, and you are live.

tip

Publish and Open are two separate switches. Publish decides which questions new applicants get. Open decides whether anyone can apply at all. A form must be published before you can open it.
